Wedding planning guide

How to find a wedding venue that is actually available

A practical guide to date flexibility, availability timestamps, and what to ask before falling in love with a venue.

Start with a date window

A single fixed Saturday narrows the field quickly. A wider date window lets operators compare venues by real availability, not just visual fit.

  • Ask for confirmed open dates, not generic season availability.
  • Record when the availability was checked.
  • Separate ceremony, reception, accommodation, and catering availability.

Check capacity before style

A venue that photographs well can still fail the plan if guest count, catering rules, parking, transfers, or weather backup do not fit.

  • Match seated capacity to the realistic guest list.
  • Confirm wet-weather options for outdoor ceremonies.
  • Ask whether catering is exclusive, preferred, or open.

Normalize the quote

Venue prices are hard to compare unless inclusions, VAT or tax assumptions, overtime, deposit terms, and cancellation windows are written down in the same format.

Use availability confidence

Treat calendar-connected or recently confirmed venues differently from venues that still need outreach. Final booking should wait for supplier confirmation.
